Project Overview
DistribOS is a cloud-based Distribution Management System built for Sodium SOLAB, a multi-warehouse distribution business. The system replaces manual, Excel-based operations with a single platform that handles inventory, sales invoicing, customer debt tracking, vendor management, payments, and end-of-month reconciliation — all with role-based access across multiple warehouse locations.
The Challenge
Distribution businesses at scale run on razor-thin margins and complex financial flows — multiple customer pricing tiers, outstanding debts across dozens of accounts, vendor payables, and stock moving in and out daily across multiple warehouses. Sodium SOLAB was managing all of this manually, with no real-time stock visibility, no structured reconciliation process, and no audit trail when numbers didn't add up. The risk of errors — and the time cost of fixing them — was unsustainable.
Our Approach
We mapped the client's full operational structure before writing a line of code — pricing tiers, warehouse independence, reconciliation logic, and role requirements. The system was then scoped and delivered in three structured phases over eleven weeks: core operations first, financial accounting layer second, and reporting and intelligence last. This phased approach meant the business could start using the system in week four while we continued building the more complex modules, minimising disruption to live operations.
The Solution
DistribOS — Distribution Management, Simplified.
A full-featured distribution management platform covering fifteen modules: real-time stock tracking, tier-based sales invoicing (Wholesale, VSR, KAM1, KAM2), purchase management, customer and vendor ledgers, bank account management, expense tracking, and a VSR reconciliation engine that automatically locks months after submission and returns unsold stock to the warehouse. Role-based access ensures admins, managers, and accountants each operate within their defined permissions — and every warehouse runs fully independently within the same system.
The result: a business that previously relied on spreadsheets now has a live, auditable, and scalable operating system built around how it actually works.
